Student Records
All student records are open to parents. If
parents wish to review their child’s records,
they should make an appointment with their
child’s principal. Temporary and permanent files
may be reviewed only in the presence of a district
staff member and, in the case of
psychological data, with the assistance of the
school psychologist. Staff members will explain
and interpret student records for parents.
Parents, or representatives designated in
writing by the parents, have the right to inspect
and copy a student’s records within 15 days of
the request. (Copying charges are nominal.)
Parents also have the right to challenge the
accuracy, relevance or propriety of any part of a
student’s record (except grades). Information
about the procedures for challenging records is
available from school principals and from the
assistant superintendent. Unless specifically
denied by a court order, non-custodial parents
have the same rights regarding student records
as custodial parents.
State law governs District 123’s handling of student records. Records are released
only to parents, representatives designated in
writing by the parents, and to persons or agencies
authorized or required by state or federal
law to have access to the records.
If a child is transferring to another public or
private school, District 123 will release the
child’s records to the new school upon written
request of that school.
If a student’s records are requested by a person
or agency authorized to have access to the
records without parental knowledge, District
123 will notify the parents. Parents then have
five days in which to exercise their right to
inspect, copy and challenge records. In case of
an emergency (when health or safety of the
student or other persons is involved), District
123 may release records without parents’
knowledge. Subsequently, parents will be
notified of the release of student’s records.
While parents always may inspect, copy and
challenge student records, they may not
prevent the release of student records to legally
authorized persons.
